Your emails are landing in spam. Here's why — and how to fix it.
Bad data, broken deliverability, and a misconfigured outbound stack are why you're not getting replies. Not your copy. We find the actual problem and fix the whole system.
So you start wondering if the tool is broken. In most cases, it isn't.
What's actually happening:
You're sending to unvalidated, stale contacts — and burning credits on bounces.
SPF, DKIM, and DMARC aren't set up properly, so your domain gets flagged before emails arrive.
You ramped up sending volume too fast on a cold or damaged domain.
You're optimizing copy while your emails never reach the inbox.

What we fix
We fix the parts no one shows you.
Most consultants hand you a checklist. We audit your actual setup — domain configuration, list health, sequence targeting, sending behavior — and fix what's broken, not just what's visible.
That means checking your SPF, DKIM, and DMARC records. Cleaning and validating your contact lists before you waste another dollar on bounced emails. Rebuilding your sending behavior so your domain stops getting flagged.
We also look at who you're targeting — because even clean data fails if you're not enrolling the right contacts with the right signals.
What changes
When the foundation is right, everything works.
✓ Emails land in the inbox instead of spam.
✓ Bounce rates drop — your credits stop going to waste.
✓ You're only sending to real, validated contacts.
✓ Reply rates improve because actual humans are seeing your messages.
✓ You have a system you can repeat — not just one lucky campaign.
✓ You stop blaming the tool and start trusting your outbound again.
You go from "why is none of this working?" to "okay, now we're getting replies."
Common mistakes
Why most Apollo setups fail.
It's rarely a tool problem. It's almost always a setup problem.
01 Sending without proper SPF, DKIM, and DMARC — your emails are already flagged before they arrive.
02 Using unvalidated lists with stale leads — paying for contacts that haven't existed in two years.
03 Trusting "verified" emails that still bounce — verification isn't the same as deliverability.
04 Ramping volume too fast on a new or recovered domain — inbox providers notice and start filtering.
05 Writing better copy when emails aren't even hitting inboxes — the problem is upstream.
06 Using the same generic sequence for every segment — targeting matters as much as messaging.
07 Waiting until deliverability is damaged to fix it — by then you're rebuilding from scratch.
How it works
Four steps from broken to running.
01
Audit your current setup
We look at your Apollo configuration, domain records, sending history, and list quality — and find exactly where things are breaking down.
02
Fix deliverability
SPF, DKIM, and DMARC get properly configured. If your domain is damaged, we'll tell you whether to repair it or start fresh with a warmed sending domain.
03
Clean and validate your lists
We remove stale contacts, fix bad data, and validate before you send — so your bounce rate drops and your credits go toward real prospects.
04
Rebuild your outbound system
Targeting, sequence structure, sending cadence — rebuilt so you have a repeatable process, not just a one-time fix.
Objections
Before you say "we already tried that…"
"The data is just bad."
Sometimes it is. But most teams don't know how to filter, clean, or validate it properly. Bad data is fixable — ignoring it isn't.
"We're paying for leads that bounce."
That's a list quality and validation problem, not a platform problem. You can fix it without switching tools.
"This feels too complicated."
It is if you're figuring it out alone, one forum thread at a time. Once it's set up correctly, it's simple to run.
"Support didn't help."
Support gives you workarounds for their system. We fix your system.
"We just need better copy."
Copy only matters if your emails are reaching the inbox. If they're not, that's the first thing to fix.
FAQ
Common questions.
Why are my emails going to spam?
Usually it's a deliverability issue — missing or broken domain authentication (SPF, DKIM, DMARC), sending too much too fast, or a list with too many bad addresses triggering spam filters.
Is it my data or my copy?
Almost always the data first. If the wrong people are getting your emails — or your emails aren't arriving at all — copy can't save the campaign.
Why am I getting high bounce rates?
Stale contacts, unvalidated lists, or "verified" data that's out of date. Verification checks if an address exists at a point in time — it doesn't guarantee deliverability going forward.
How many emails should I be sending per day?
It depends on your domain's age, warmup history, and current health. New or damaged domains need a slow ramp — sending at full volume right away is one of the fastest ways to kill deliverability.
Do I need new domains or inboxes?
Sometimes. If your primary domain has significant deliverability damage, a sending subdomain or separate domain is usually faster than recovery. We'll tell you which situation you're in.
How do I know this will actually work?
Because we fix the system, not just one piece of it. Deliverability, data quality, setup, and targeting — all at once.
